Working alongside a Second Property Engineer, the Facilities Manager will be responsible for maintaining the highest standards across all building systems and infrastructure, including water, gas, electrical, HVAC, and AV, as well as coordinating with external vendors and specialists when necessary. Much of this role will be handling the more administrative side of the necessary tasks. Responsibilities include: basic project planning (Microsoft Excel competencies) & contractor management, tendering tasks & ensuring contractor contracts & insurance meet requirements, complete weekly property reporting (Microsoft Excel, Word, Outlook competencies), overseeing service & maintenance schedules for property vehicles and equipment, maintaining detailed service records and preventive maintenance logs, execute general repairs, decorating projects, and small-scale improvements across the property & grounds, supporting renovation projects, serving as on-site liaison to communicate Owner requirements & standards and providing emergency support, as needed. While the role is primarily based at the Long Island residence, occasional travel to the family’s home in Manhattan will be required to provide similar services on a periodic basis. The ideal candidate will be comfortable working in a household with school-age children and pets, and must have a minimum of 3-5 years of experience in luxury residential or commercial property management, or have a strong background in an MEP trade or general construction. Candidates should be technologically proficient and have strong communication skills. The typical schedule is five days a week, including one weekend day, approximately 40 hours per week, though the candidate must be available for communication and emergency call-outs during evenings and weekends as needed. A family of five, on the Upper West Side, needs to hire a highly organized and experienced House Manager to oversee the smooth operation of their primary residence and assist with the development and eventual management of their secondary home in Fairfield County, CT, which is currently under construction. The House Manager will be responsible for creating a comprehensive household manual (“household bible”) and assuming many of the oversight duties currently handled by the principals. Key responsibilities include: managing household calendars, scheduling and supervising vendors, coordinating repairs and projects, household organization, overseeing seasonal cleanings and moves, handling quality control and preparing the home for the family and guests. Additional duties include: running errands, assisting with event planning and execution, and overseeing construction and special projects at the Connecticut property once completed.
