Office Administration Responsibilities Include, But Are Not Limited To:
- Provide overall support to Placement Specialists and other team members as needed
- Edit MS Word And PDF documents/scan and manipulate documents
- Manage MS Outlook calendars
- Update and maintain database and other electronic records
- Check references and submit background checks
- Provide phone coverage at the reception desk
- Schedule applicant interviews
- Schedule remote interviews via Zoom/Skype/Facetime
- Assist with social media and advertising initiatives
Qualifications:
- Tech and computer savvy (MS Word, MS Outlook, MS Excel, Adobe Acrobat, social networking sites, online search engines, and basic troubleshooting)
- Excellent written, verbal, and interpersonal skills
- Experience working with high net-worth clientele
- Must be highly organized with attention to detail

We, here at Pavillion Agency, are searching for an experienced and talented Executive Assistant/Insurance Coordinator to join our team. This hire will report directly to the President and will play an integral role in our rapidly growing insurance business. The position is 100% on-site (nothing remote) and hours are Monday through Friday, 9am to 6pm. In addition to assisting the president, this position will involve all aspects of Health, Workers Comp, and Disability Insurance including proposals, enrollments, and renewals. Daily responsibilities include assisting clients with their insurance needs, cross-offering other insurance products, and following up with existing and prospective policyholders. Candidates must have intellectual agility and the ability to analyze and think critically, be organized with extreme attention to detail, be an excellent communicator and tech savvy. A high level of proficiency with MS Word, Excel, Outlook and Adobe Acrobat is required.
Responsibilities include but are not limited to:
Executive Assistant Duties
- Assist President with various projects including marketing, research, protocol development and more
- Calendar management and scheduling
- E-mail management, which will include flagging e-mails, handling follow-up, and replying on behalf of the President when needed
- Screening and answering calls
- Serving as a representative of the President in his absence with clients and other staffers
- Booking personal and business travel
Health, Workers Comp, and Disability Insurance Duties
- Generate proposals for prospective clients
- Perform Benefits Administrator duties for select clients, including enrollments, terminations, and COBRA management
- Claims administration for select clients including submissions, appeals, and follow-up
- Review and approve monthly invoices for select clients
- Assist Principal with new group applications
- Keep track of renewals and inform clients, requesting any required documentation
- Make sure renewals are processed in a timely manner, notifying client when renewal is complete
- Submit enrollments and terminations in a timely manner
- Keep track of Principal’s license renewals
- Submit WC and DBL applications for new clients and follow through until completion
- Frequent communication with both the insured and the carriers
- Submit payroll reports
- Make payments to carriers on behalf of the insured, notifying insured and key internal contacts
- Respond to any notices from the carriers in a timely manner, always keeping insured informed
Salary range of $75k to $125k annually.
