A family, on the Upper East Side, needs to hire highly experienced Executive Assistant. Responsibilities include: Assisting the principal taking notes, making schedule adjustments, and being side-by-side support. Responsible for all the principal’s private projects, appointments, events, e-mails, etc., keeping the principal on time for appointments, reminding the principal of important tasks, deadlines and events, managing the principal’s calendars. Facilitate charity invitations and logistics. Send monthly gifts and flowers to family/friends. Create Guest lists for dinner parties, invitations, thank you notes etc. Create and update meal spreadsheets for dinners and parties. Guest Coordination: creating and updating arrivals, departures and notify team of any changes. Coordinate family and group travel and update spreadsheets as needed. Manage Christmas gifts and cards. Log and email monthly credit card receipts/statements. Reconcile the Principal’s credit card receipts. Accompany the principal on domestic/international trips, assisting with the organizing and planning travel as requested. Communicate, plan, and stay active with upcoming trips, packing, etc. Research events, exhibits, and restaurants. Work closely with the Estate Manager and Principal on projects. General administrative work. Assist with/walking the family’s dogs as needed. Run errands. Assist with the children if needed. Organize the principal’s closets based on a seasonal basis. Maintain a high level of confidentiality and privacy of the principal and family at all times. This position reports directly to the Estate Manager. Schedule is: Monday-Friday 8:00am-4:30pm. Salary range: $125-135k plus benefits.
