Position: Executive Assistant, Office Assistant, Pavillion Agency Team Member
Location: Manhattan

We, here at Pavillion Agency, are seeking a talented & experienced Administrative Assistant to join our dynamic team. The Administrative Assistant will join our administrative staff in assisting with various duties related to recruiting and job placements as well as our benefits and payroll divisions. This includes reference checking with high-profile individuals, electronic records maintenance, reception responsibilities, and much more. Our firm offers a professional, high-level service in a business-casual work environment. Applicants who are driven and aspire to grow within a successful boutique industry leader with the below experience, qualifications, and/or compelling relevant skill-set are encouraged to apply. Must have verifiable professional references, professional demeanor and a healthy sense of humor. Annual salary range of $45k to $65K, immediate start.

Office Administration Responsibilities Include, But Are Not Limited To:

  • Provide overall support to Placement Specialists and other team members as needed
  • Edit MS Word And PDF documents/scan and manipulate documents
  • Manage MS Outlook calendars
  • Update and maintain database and other electronic records
  • Check references and submit background checks
  • Provide phone coverage at the reception desk
  • Schedule applicant interviews
  • Schedule remote interviews via Zoom/Skype/Facetime
  • Assist with social media and advertising initiatives

Qualifications:

  • Tech and computer savvy (MS Word, MS Outlook, MS Excel, Adobe Acrobat, social networking sites, online search engines, and basic troubleshooting)
  • Excellent written, verbal, and interpersonal skills
  • Experience working with high net-worth clientele
  • Must be highly organized with attention to detail
  • Must be a flexible team player and welcome additional responsibility
  • Experience with social media outreach is a plus
