An international family based in Midtown Manhattan, needs to hire a Household PA & Scheduling Coordinator to work as a team with the existing staff. The role sits within a three-person assistant team and reports to the Senior Executive Personal Assistant (SEPA), contributing to a function where accuracy and reliability are non-negotiable. Responsibilities include: managing calendars across the household, building and maintaining travel itineraries from start to finish, and ensuring that every booking, confirmation, and commitment is captured, coordinated, and communicated with precision, liaise with and co-ordinate stakeholders within the family’s team to ensure service is in place when and where required, liaise directly with charter operators, hotel concierges, car services, and other travel providers to make and confirm bookings as directed by the SEPA, prepare clear and comprehensive pre-travel and pre-event packs for the family, covering all reservations, contacts, timings, and relevant documents, maintain household-wide scheduling, including staff rotations, maintenance appointments, and regular service provider visits as required. manage the complete paper trail for all bookings and commitments — confirmations, contracts, reservations, and insurance renewals, monitor and flag upcoming renewals, deadlines, and scheduling conflicts in advance, so the team is always prepared, support the SEPA and wider assistant team with scheduling and administrative tasks as required and be prepared to cover the absence of the SEPA or Family Assistant temporarily if and when required. This role suits a highly organized individual who takes real ownership of their work and holds themselves to an exceptionally high standard. Regular schedule 7:00am to 4:00pm, Monday to Friday, with on-call availability required for last-minute changes outside those hours. Salary range: $120-140k and benefits.
